How do meeting room digital displays work?

In this article we introduce you to the Flexopus meeting room displays!

The fee-based module allows you to link Flexopus meeting rooms to on-site installed displays. These can display bookings and allow you to make bookings at short notice. Spontaneous bookings thus become even easier and ensure better utilisation of your meeting rooms.

Tip (opt.): Link your Flexopus instance with Microsoft Exchange Online and have all bookings automatically synchronised on the displays. You can find more information about our Microsoft Exchange Online synchronisation here

List of features

  1. Flexopus display authentication
    The displays must be linked to the meeting rooms via a PIN code in the admin area. You can find more information on this below. 
  2. Status display with infinite scroll timeline
    The occupancy status is shown in color ( GREEN : free, ORANGE : booking starts in 10 minutes, RED : occupied). For privacy reasons, we only display the host's name. 
  3. Ad Hoc bookings on site
    Ad hoc bookings of the meeting room can also be made on site without a personal login. These bookings can also be deleted again on the display. Ad hoc bookings are only possible "from now on".
  4. Calendar and list view of bookings
    The bookings can be displayed in a list sorted by calendar week or in an interactive calendar. Similar to the status display, no details about the bookings are displayed for data protection reasons.
  5. Integration with Microsoft Exchange Online
    Flexopus can be synchronized with Microsoft Exchange Online. The bookings are then synchronized between the two systems. The meeting room bookings can still be made in Outlook as usual. Our interface synchronizes resource bookings via the GraphAPI within seconds. A double assignment of resources is therefore not possible. More information can be found here
  6. Central management of displays
    You can link and remove new displays in our admin dashboard
  7. Automatic software updates
    Software updates are carried out automatically by us. You only have to take care of the initial setup and an active internet connection. 

Important: For data protection reasons, the title of meetings is deliberately not shown on the displays. This prevents confidential or personal data from being viewed by people passing by.

Supported devices 

Our solution is platform-independent because it is implemented as a web application. Therefore, the application can be used on any browser-enabled device (e.g. Android tablet or iPad).

The following two hardware solutions are regularly tested and used by us:

The ProDVX Display is specialised hardware for digital signage. Our recommended model is the "APPC-10SLBe," which we have specifically tested for its compatibility with the features of our app.

The following features distinguish it from a normal tablet:

  1. LED on tablet edge for better lighting
  2. No built-in battery. Power is supplied through the power cable.
  3. Built-in motion sensor. The screen turns on as soon as it detects movement.
  4. Easy installation.

 

Apple iPad Mini + Eve Motion motion detector

The Apple iPad Mini is known as an elegant device for home kit solutions. You can install the Flexopus application as a PWA and enable kiosk mode (aka "guided access") if you wish. This mode prevents other applications from opening. After installing a motion detector, the display turns on automatically when there is movement. More information can be found here .

There are various iPad mounts on the market. You can therefore choose the design according to your needs - wall mount, floor stand, wooden, plastic or aluminum mount.


In addition, we have recently started to offer digital info screens for Smart TVs. You can read more about the info screens here. We ourselves have a Samsung Smart TV (QE43Q60BAU) and a LG Smart TV (43UQ80009LB) in use.
