What is Flexopus?
Flexopus application
Flexopus is a workplace management software used as a B2B software solution to manage office resources and workflows. The application offers many software modules and solutions like:
- Desk sharing / Workplace booking
- Parking space sharing / Parking spot booking
- Meeting room experience
- Visitor management / registration
- Catering & services
- Digital signage displays for meeting rooms
- Meeting room boards
- Presence board for users
The application is provided on separated URLs for each organization, this way the user management and login settings can differ for each organization based on their preferences. The access right for each Flexopus organization need to be granted by an administrator, therefor you can not fill out a form to register.
Desk sharing / Workplace booking
As an employee of an organization, you can be invited into the application to book your desk. This feature is typically used to manage a flexible office concept, or a so-called hybrid office concept. The administrators set which desk can be booked by which user, it's also configured how long in advance the desks can be booked.
As a user you can select a time frame, select a building and see which desks can be booked. Basically, each user is responsible to book the desks based on their personal demand.
Parking space sharing / Parking spot booking
Similar to the desk sharing solution, employees of an organization can book their parking spot through Flexopus as well.
Meeting room experience
Additionally to the desks and parking spots, office resources like meeting rooms, conference rooms and telephone boxes can be booked via Flexopus as well. However, in this case, the booking is mostly done already using Microsoft Outlook via Microsoft Exchange Online or via Google Calendar. The goal of Flexopus is not to replace the already working workflow in Microsoft or Google. Or goal is more to extend it, by offering additional features like:
- Digital signage displays for meeting rooms
- Meeting room boards
- Catering & Services
- Live map for status overview
- Utilization statistics based on meeting room usage
- Ad-hoc booking
- Microsoft Outlook Add-in
Visitor management / registration
Register the visitor in your office in advance to have a guest protocol. In case you expect a visitor in the office, by entering the name and email of the visitor, you can invite a visitor to the office. Upon or prior to entering the office, the visitor can sign the necessary documents to enter the facility. Such as a data processing agreement, office rules and any other documents defined as required visitor document by your organization.
The visitor registration process is necessary to comply with a certain information security standards such as the ISO9001, ISO27001, TISAX and so. Your company most probably need these certifications to sell service, therefor a certain information security level need to be provided by knowing who is entering the office a when.
Catering & Services (coming soon)
Depending on the size of your office, there can be service offered by the organization to make the daily work easier. Such service can be a catering service, where you can order coffee and breakfast for your meeting attendees, mostly external guest. But a service can also be a cleaning service or a facility management service to set up the conference room before a bigger meeting. Services and service items can be defined in Flexopus and can be ordered by the users.
Digital signage displays for meeting rooms
Digital signage displays are used to show the booking status of a meeting room. With the LEDs, you can see the reservation status of the room from far away. All the upcoming reservations are displayed on the device. Optionally, the reservations can also be synchronized from Microsoft or Google to the Flexopus application.
In case the room is free, an ad-hoc reservation can be made directly on the display. Optionally, a check-in feature can be activated to confirm that the room reservation is really necessary, and it's not a ghost meeting room booking.
Meeting room boards
The upcoming reservation of the meeting rooms associated with a floor or a building can be displayed on a meeting room board to see easily which room is free at the moment.
Presence board for users
The colleagues with an active reservation today can be displayed on a presence board, to see which colleague is coming today to the office. This is an optional comfort extension to make the people in the office more accessible, by knowing who will be in the building. The same information can also be access in the application directly in the live map.
