Microsoft - Work Location Sync.

Why synchronize work location resources?

Based on the desk and home office bookings, you can synchronize work location data into the users calendars to indicate their office presence for the other colleagues directly in Outlook. In the case of a desk booking, the name of the building name, the floor name, and the desk name will be synced.

Working location is now synced automatically with Microsoft Exchange.

STEP 1 - Microsoft Exchange

This integration requires you to activate a Microsoft Exchange integration. It works both with Microsoft Exchange Online and On Premise:

Make sure that the integrations allow us to access the user's calendar to read and write events.

STEP 2 - Allow the synchronization

Navigate as an administrator in Flexopus to Global Settings → Integrations → Microsoft Exchange Online. Enable the synchronize work location feature.

Activate working location sync in the admin area.

This syncs desk bookings and home-office days as full-day events into users' personal Microsoft Exchange calendars — helping colleagues quickly see where someone is located and simplifying e.g. in-person meeting planning.


Delete / Edit work locations

Deleting a booking in Flexopus
In case you delete a booking in Flexopus the work location will be removed from your Outlook calendar.

Deleting the work location manually at Outlook
In case you delete the work location manually from your calendar, Flexopus will not be notified and cannot replace it, however if you edit your booking it will be created again.

Edit booking in Flexopus
In case you edit a booking in Flexopus, the work location will also be edited in your Outlook Calendar.

Edit work location in Outlook
In case you edit the work location manually in your calendar, Flexopus will not be notified and cannot undo the changes. However, Flexopus will overwrite your manual changes if you edit your booking in Flexopus.
