Roles & permissions


Overview

The following roles and rights can be assigned to a user in Flexopus:

Permission & role name Notes
Normal User All users have this role by default.
No access to the admin dashboard.
Group Manager Bookings can be created for the assigned groups.
Location Manager Lights Management of an assigned Plan without booking permissions.
Location Manager Management of an assigned Plan without booking permissions.
Administrator Unlimited access to the admin area to make configurations.

User roles can only be assigned by an administrator. Navigate to Users → All Users (choose a particular user) → Edit User → Administrative Rights.to edit the permissions and roles for a specific user.

Normal User

Normal users have no access to the Flexopus administrator dashboard. No changes can be made in the data of others. All users have this role by default.


Administrator

The administrator can manage everything in the system and access all the modules. Basically, the administrator has unlimited permissions in the application. This role can be expanded by enabling the 'Can manage other admins' option, which allows the user to modify the administrative rights of other users within the application.


Group Manager

A group manager has limited access right to the admin dashboard. The group manager can manage, create, edit and delete bookings for the users that are assigned to. Assign the users to the group managers via groups.

The group manager can create bookings for the objects that are accessible through the assigned groups. For example: Assign the group test-group to the building, the floor plan and the object itself. This way, the group manager of the test-groupcan create bookings for that object.

Permissions:

  • Create, edit and delete bookings of the assigned users for the accessible objects.
  • Edit user profiles for the assigned users however, the group manager can not assign roles and permission or edit the groups.
  • Group managers can not invite or delete users.
  • No access to the building plans, analytics and to the global settings.

Note: When assigning the all user group, all users, and all bookings can be managed.

Location Manager Light

The location manager light roles can be used to make changes on the floor plans and see the utilization statistics of the floor plans. The LIGHT marks that this user has no access to any personal data:

  • NO access to the user management and to the global settings in the admin area.
  • NO access to the user management.

With this role, you can edit the attributes of the objects like name, equipments assigned groups, status etc. You can also open the map editor and change the layout of the object. You can see which objects are booked the most on the heatmap and see all the utilization statistics.

Manage assigned plans with all capabilities. (Without deletion and creation of new locations)


Location Manager

The location manager has the same permissions as the location manager light and additionally the role can manage, create, edit and delete the bookings for the assigned plans. New bookings can be created for all users. Managing existing bookings is only possible for the corresponding plans. The bookings can also be exported.

Note: Ideally, the normal users are not able to create multiple reservations at the same time for themselves however, this is required in some cases. For example: a team or department would like to reserve a part of the office for team building, hackathon or for any other special event, which requires bulk reservation. In this case, the location manager can create multiple reservations for one user at the same time.
